When using copy and paste from Word into the HTML editor, the editor used is called the FCKeditor.  The following are some instructions and tips on how it works:

FCKeditor: Copy and Paste

For large amounts of text, it is recommended that you first type the text in Word or another word processor program and then copy and paste it into the editing area in FCKEditor. However, when you copy and paste from Word directly into FCKEditor, it carries over the stylesheets from Word, and that could cause some problems with FCKEditor’s predefined styles.

There are several solutions to this:

  1. You can copy and paste the text from Word into Notepad first — which strips all of the styles and turns everything into plain text — and then copy and paste from Notepad into FCKEditor and apply all the styles all over again.
  • FCKEditor has a “Paste as Plain Text” option. It’s the button with a clipboard and a letter “T”. After copying the text in Word, go to FCKEditor and click the “Paste as Plain Text” button, and a window pops up. Paste the text into this popup window and hit “OK”, and the text will be pasted into wherever your cursor is as “Normal” text.
  • FCKEditor also has a “Paste from Word” option. It’s the button with a clipboard and the Word icon. Click this button and you get a popup window. Copy and paste from Word into this window. You’ll notice that all the styles carry over from Word. There are two checkboxes below the text area in this popup window: “Ignore Font Face definitions” and “Remove Styles definitions”. You should always have “Ignore Font Face definitions” checked. This will change whatever font you used in Word (e.g.: Times New Roman, Arial, etc.) to the predefined font for the Web site. If you leave “Remove Styles definitions” unchecked, it will allow you to preserve all the style changes you had made to the text in Word, such as bold, italicize, and underline. This would save you the trouble of having to redo them all after pasting into FCKEditor.
